Your starting point
For teams that regularly consult procedures, technical files, contracts or internal information.
A retrieved text is not necessarily current or available to everyone. A fluent answer can also hide a missing source. The goal is verifiable access with appropriate permissions for each user.
How to move forward
Define the sources
Identify useful documents, their owner, freshness and permitted access. Exclude content that should not be included in the search scope.
Test real questions
Prepare representative questions with expected answers or sources to retrieve. Also test unanswered questions and conflicting versions.
Organise updates
Define how new documents are added and old ones removed. Provide a route to the original document and a way to report unsatisfactory answers.
Agree before starting
- Answers accompanied by their sources.
- Permissions reviewed before testing.
- Explicit version management.
Your questions
Can we start with one folder?
Yes. A limited, familiar collection lets people who know the documents assess retrieval before expanding the scope.
Should the assistant answer everything?
No. It should be able to state that the available sources do not support an answer. Sensitive matters remain subject to review by the relevant professional.
Do all our files need to move?
That depends on the tools and available access. Connection, controlled-copy and update options should be reviewed before a decision is made.
